PT4You keeps data collection limited to what is reasonably needed to respond, plan safe sessions and provide the service. This website does not contain a contact form and does not currently use advertising or marketing analytics cookies.
1. Who is responsible for your information?
Agnes, trading as PT4You, is the data controller for personal information used to provide the PT4You service. You can contact Agnes on 07824 098824 or through the WhatsApp option on the contact page.
2. Information PT4You may collect
Depending on how you interact with PT4You, information may include:
- your name, telephone number and WhatsApp profile information;
- your general location and address for home visits;
- your goals, training history, availability and service preferences;
- booking, attendance, package and payment information;
- health-screening answers, relevant conditions, injuries, symptoms, medication or accessibility needs;
- coaching notes needed to plan, adapt and track your sessions; and
- technical information essential to serve and secure this website, such as basic server logs.
3. Why the information is used
Personal information may be used to:
- respond to an enquiry and discuss whether PT4You is suitable;
- arrange, deliver and manage personal training sessions;
- plan safer, relevant exercise and monitor progression;
- request medical clearance where appropriate;
- manage payments and business records;
- meet insurance, safeguarding and legal obligations; and
- protect the security and proper operation of the website.
4. Lawful bases
Under UK data-protection law, PT4You relies on one or more lawful bases depending on the purpose:
- contract, to take steps at your request and provide booked services;
- legitimate interests, to operate, secure and improve a small personal training business;
- legal obligation, where records must be kept or information disclosed by law; and
- consent, particularly where explicit consent is appropriate for health information.
Health information is special-category data. Where it is needed to plan or deliver training, PT4You will handle it carefully and identify an appropriate additional condition under data protection law, normally your explicit consent or another applicable legal basis.
5. WhatsApp and telephone contact
If you choose WhatsApp, your messages and account details are processed through WhatsApp’s service and are also subject to its own privacy terms. Please send only the information needed to begin the conversation. Detailed health information can be discussed through an appropriate onboarding process.
WhatsApp and standard telephone services should not be used for urgent medical help. Contact the appropriate emergency or health service when urgent assistance is required.
6. Sharing information
PT4You does not sell personal information. Information is shared only where reasonably necessary, for example with service providers supporting communications, payment, secure storage or website hosting; with professional advisers or insurers; with a healthcare professional at your request or with an appropriate basis; or with authorities where required by law.
Service providers are expected to protect information and use it only for the agreed purpose.
7. International processing
Some technology providers, including communications and hosting services, may process information outside the United Kingdom. Where this occurs, PT4You will rely on the provider’s appropriate safeguards or another lawful transfer mechanism.
8. Retention and security
Information is retained only for as long as it is reasonably needed for the relevant purpose, including delivering services, responding to disputes and meeting tax, insurance or legal requirements. Different records may have different retention periods.
Reasonable organisational and technical steps are used to protect information. No internet or messaging service can be guaranteed completely secure, so please use care when deciding what to send electronically.
9. Cookies and website data
This website does not currently use advertising cookies or marketing analytics. Essential technical data may be processed by the hosting service to deliver the site, prevent abuse and maintain security. If optional analytics or marketing technology is introduced, this notice and any required consent controls will be updated.
10. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you the right to:
- ask for a copy of your personal information;
- correct inaccurate or incomplete information;
- ask for information to be deleted or its use restricted;
- object to certain processing;
- receive certain information in a portable format; and
- withdraw consent where processing relies on consent.
These rights are not absolute and a legal reason may sometimes require information to be kept. To make a request, contact Agnes by phone or WhatsApp. Identity may need to be verified before a request is completed.
11. Complaints
Please raise privacy concerns with Agnes first so they can be addressed. You also have the right to complain to the UK Information Commissioner’s Office. Current contact details and guidance are available from the ICO.
12. Changes to this policy
This policy may be updated as PT4You’s services, technology or legal duties change. The latest version will be published on this page with its revision date.
